The MSF Regional Office in Dubai is currently looking for an intern for 4 weeks, for the reception and office management.

The office consists of 4 departments, communications, fundraising, field HR and administration, and acts as a regional support base for MSF logistics, operations and recruitment.

If you are interested in knowing the activities of MSF in Dubai from the inside and gain an experience in office management and reception, you might be the perfect candidate!

Report to: HQ HR Officer

Duty station: Dubai, Concord Tower in Media City

Working hours: 9 am – 5 pm

1/ Reception

  • Provide general support to visitors
  • Answer the main telephone line, either responding to inquires or filtering and forwarding incoming calls. Manage the general office email address in a timely and professional manner, ensuring all inquiries are responded to or forwarded as appropriate within 1 working day.
  • Timely coordination and distribution of all mail via MSF mail pouch, post, local and international couriers.

2/ Office Management

  • Collect employees’ office requests and/or queries regarding office management issues (mobile phones, printer, server, Wi-Fi, kitchen, MSF stationary & office supplies, mail & phone systems, parking & security, etc.), report them to the HR Officer, and follow her instructions
  • Maintain supplies of stationery, equipment and office supplies by processing orders of all office stocks and kitchen supplies after validation of the HR Officer. Maintain the condition of the office and arrange necessary repairs (printer, phone system, minor building repairs, etc.) as per HR Officer instructions
  • Schedule meetings and appointments, and assist in the onboarding processes for new hires if needed

 

3/ Other

  • Participates in UAE monthly & quarterly meetings, and any team or department meetings upon request;
  • Undertake other office related tasks and ad-hoc projects as may be required by the HR  Officer
  • Remain flexible to shifting tasks according the fluidity of MSF activities or priorities.

4/ Skills and requirements

·       Fluent in English - Arabic an asset

·       Experience working with MS Office Applications, Internet

·       Ability to handle multiple tasks, establish and follow priorities

·       Strong interpersonal, intercultural, and communication skills

·       Highly organized with excellent attention to detail

·       Collaborative, constructive, team oriented

·       Flexible work approach

·       Strong belief in the values upheld by MSF

·       valid residence visa in the UAE.
